Bookkeeping, Payroll & Tax Services in Sunnyvale

Sunnyvale runs two economies at once. Restaurants and independent retail downtown, consultancies and contractors everywhere else. What those two need from a bookkeeper has almost nothing in common.

Two business communities

There are two Sunnyvales

Downtown

Restaurants, bars and independent retail around Murphy Avenue.

What makes it hard

  • Daily takings that have to reconcile to the till
  • Card settlements arriving net of fees, days later
  • Tips: reporting, distribution and the payroll treatment
  • Part-time staff on shifting hours, on Sunnyvale’s own wage rate
  • Sales tax tied back to the POS

What we do about it

  • Daily and weekly reconciliation rather than a monthly scramble
  • Payroll built around shift patterns and tipped staff
  • Sales tax prepared and filed on schedule
Payroll services for restaurants

Everywhere else

Consultancies, contractors and small technical firms.

What makes it hard

  • A handful of clients, invoiced on project milestones
  • Contractors rather than employees, and the classification question
  • Months with no income followed by months with all of it
  • Quarterly estimates nobody reminds you about
  • The entity question: sole proprietor, LLC, or S-corp election

What we do about it

  • Books that show earned revenue, not just banked cash
  • 1099 tracking through the year rather than in January
  • Quarterly estimates calculated and scheduled

Most businesses sit clearly in one of these. If you’re somewhere in between, say so on the call and we’ll work it out.

Minimum wage

One thing you both have to deal with

Sunnyvale sets its own minimum wage, above the California rate and on its own adjustment schedule. It applies to anyone working in the city, whatever your business is or where it’s registered: a part-time server and a junior consultant are covered by the same number.

If you employ people here, that’s a rate that has to be right every pay run, and it’s one of the things we track as part of running payroll.

Questions we get from Sunnyvale

Yes. Sunnyvale sets a city rate above California’s, and it adjusts on its own schedule. If you employ people here that’s the rate that applies, and it’s part of what we track when we run your payroll.

Mostly bookkeeping and 1099 tracking rather than full payroll. We’d also look at whether anyone you’re treating as a contractor would be classed as an employee under California’s test. That’s an expensive thing to get wrong.

Yes: reporting, distribution and the payroll treatment that goes with them. Tips are one of the main reasons restaurant payroll is a different job to ordinary payroll.

Usually. Plenty of clients keep what they have and hand us the running of it. If the system itself is the problem we’ll say so, but we won’t move you just to move you.

No. Smaller businesses are often where it matters most, because there’s nobody internal to catch things. We’ll tell you honestly if you don’t need us yet.
