Pay runs, on schedule
Weekly, biweekly or semi-monthly, run on the same day every time, with off-cycle runs when something can’t wait.
Campbell, California
Pay runs, withholdings and filings handled on schedule, by people who know that California payroll is not the same job as payroll anywhere else. Same team every cycle, and someone who picks up the phone when something needs fixing before Friday.

Run payroll in most states and the main question is how many hours someone worked in the week. In California it’s also how many they worked in a day. Overtime can start on one long shift even when the weekly total looks ordinary, so a schedule that works fine elsewhere can quietly create overtime here.
Then there are the rules around the shift itself. A missed or late meal or rest break carries a premium that has to show up on the paycheck. Wage statements have a list of things they must show, and leaving one off comes with penalties of its own. When someone leaves, whether they quit or you let them go, the final paycheck runs on its own timetable, and late final pay gets expensive quickly.
None of it is exotic. It’s detailed, and the mistakes rarely announce themselves. They tend to surface months later, in an employee complaint or a notice, by which point fixing them costs far more than getting it right on the day would have. That’s the part we spend our time on.
California sets a state minimum wage, but several Bay Area cities set their own above it — and they don’t all move on the same date. If you have staff in more than one city, or someone who works across two, the rate isn’t one number. National payroll platforms treat California as a single jurisdiction. We don’t, because we’re in it.
We track the local rates for Campbell, Santa Clara, Sunnyvale, San Jose, Cupertino, Los Gatos, Mountain View and Saratoga.
Weekly, biweekly or semi-monthly, run on the same day every time, with off-cycle runs when something can’t wait.
Federal, state, local and special withholdings, including the ones that only apply to some of your staff.
Payroll tax deposits and returns filed on their own deadlines, not batched up and dealt with later.
W-2s for employees and 1099s for contractors, prepared and issued without a January scramble.

We calculate wages, run each pay cycle, and make sure every employee is paid the right amount, on schedule, every time.

We file your federal, state, and local payroll taxes on time, so you avoid penalties and stay compliant year-round.
We set up and manage direct deposit so your team gets paid straight to their accounts without the paperwork.

We record tips and pay them out through payroll, with the reporting that goes with them.
We set up and manage withholdings beyond the standard taxes, so each deduction is taken correctly.
We run CalSavers and 401(k) contributions through payroll so they reach the plan every pay run.
We pull together the payroll records your insurer needs when your workers’ comp policy is audited.
If you need something that isn’t listed, ask — most of it is already part of how we run payroll.
Current provider, pay schedule, headcount, and which cities your staff actually work in.
Wages, withholdings and deposits checked against what’s already been filed, so nothing double-counts at year end.
We run the first cycle alongside your existing setup and compare, before anything depends on us.
The people who set it up run it. You get a person, not a ticket queue.
Mid-year switches are routine. You don’t have to wait for January.
Tip reporting and distribution, high turnover, and split shifts that make overtime calculation anything but obvious.
Certified payroll, prevailing wage jobs, and the line between an employee and a subcontractor.
Staff working across cities with different local minimum wages, and hours that move week to week.
Salaried staff, bonuses and commissions, and owner compensation that has to work with the tax return.
It depends on headcount, how often you run payroll, and how complicated the mix is — tipped staff, multiple cities and certified payroll all add work. We quote after a short call, and we’ll tell you honestly if what you’re paying now is already reasonable.

The things that come up most on a first call.
Both. We run the pay cycle itself — hours in, calculations, payments out — and handle the deposits and filings that follow. Some firms do one and hand you the other. You’d still be doing half the job.
Usually yes. Plenty of clients keep the platform they have and hand us the running of it. If the platform is the problem rather than the process, we’ll say so, but we won’t move you just to move you.
Yes, and it’s one of the main reasons people move to us. Different local minimum wages, staff splitting hours across locations, and rates that change on different dates — that’s normal work here rather than an exception.
Yes. Registration, deductions and the ongoing administration. If you have employees and no qualifying retirement plan, this is a requirement rather than an option, and it’s one people discover late.
Yes, tracked through the year and issued at year end. We’ll also flag when someone you’re treating as a contractor looks like an employee by the state’s test, because that’s an expensive thing to get wrong.
Two business days for a standard cycle once you’re set up. Off-cycle runs — a correction, a final paycheck, a bonus — can usually be done faster, and final paychecks have their own timing rules we’ll walk you through.
You call us and we fix it, usually same day. Corrections have rules of their own in California, particularly on final pay, so we’d rather handle it properly than quickly and twice.
